This cast gives our guidance on how to create a trip folder.
Manager Tools recommends to managers that they have their admins create Trip Folders – a document which contains all the details of their trip and which can be printed out to travel with. This means they have all the relevant details with them – with no danger of losing them due to electrical equipment failure.

Good coverage on a number of things that are easy to overlook. I am a remote user (my boss is 500 miles away). When he comes to my markets, I set up a travel trip folder for him with a few extra tools. It seems that the cast was dedicated to having hard copy of the trip. Things get lost, batteries die. Perhaps fodder for another cast, but we also use IPads for more in depth data (but these tools are not limited to Ipads and will work with any tablet).
The two primary apps we use are Dropbox and GoodReader.
I set up a series of shared travel folders. One with the travel information as mentioned in the cast. The others by market, with all back up data and reports that will be used in the trip. He then syncs GoodReader with the new folders and has access to everything we will use in meetings that trip. The set up and use of these two tools is extremely easy and saves time digging through paper folders and lugging pounds of paper.

I really confirm that a trip folder is essential. A couple years back, my job required frequent travel with multiple cities per trip. I used an excel spreadsheet that a colleague created to show all the relevant info on one page (most weeks fit).
I'd suggest that if you are meeting other people at your stops, that you have a copy of their travel details, too. You never know when you need to change plans and need to know the other person's plans. My spreadsheet could fit 2 -3 people so worked most times. It is also a good tool for the travel planning person, who can see at a glance that the travel plans coordinate well. Also, each traveler can see if he or she is responsible for renting a car if the group will share one car.
Reason to Do This (Lesson Learned)
Just learned the value of this. Great tool. Admin had planned and booked trip for me next week (so I thought). Went to fill out the form myself (good practice to check details) and discovered trip was booked for October and not September. Hence, airport disaster, business disaster avoided - thanks!
